We are seeking an organized and detail-oriented Contract Administrator to oversee the development and quality control of pre-construction job packages. This role requires a skilled communicator who can manage permit applications, track project selections, and ensure accurate, timely reporting. Your expertise will ensure each contract package is complete and ready well before the construction start date. 


Responsibilities: 

Process all construction job/start packages, including: 

Permit applications: submit, track, report, and handle pick-up. 

Track selections, pre-construction conference notes, CAD drawings, and purchase orders to ensure all elements are available well before the dig date.

Communicate and project the JC Jackson Homes We Care attitude to all customers and employees across all forms of communication (writing, verbal, and appearance).

Oversee the development of start packages for homes being built and occasionally conduct closing meetings with customers, preparing necessary reports for management.

Prepare weekly reports of approved purchase orders, VPOs, and job cost invoices, delivering these to the accounting department for processing. 

Assist Construction Division Leaders with vendor and trade communications and help the accounting department with vendor statement reconciliations. 

Maintain the companys start schedule slot system and provide weekly reports to management and the sales department. 

Attend and contribute to regular construction and support team meetings, addressing agenda items such as weekly scheduling, construction training, and vendor loading.

Assist with maintaining computerized construction schedules and key management report databases. 

Oversee production office supply ordering and procurement. 

Run back-office computer system reports to support Division Leaders in their duties.


Qualifications: 

Strong people skills to professionally handle communications with customers, employees, and vendors. 

Basic bookkeeping skills for report accuracy, slot system maintenance, job cost variance reporting, and monthly reconciliations. 

High organizational ability for managing pre-construction job packages and routing processes. 

Strong computer skills with a proficiency in Microsoft Office Suite (MS Word, MS Excel, MS PowerPoint, MS Outlook), Adobe Pro, and familiarity with internet-based programs (e.g., Dropbox, DocuSign). 

Understanding of permit request processes and a commitment to timely and accurate reporting. 

Ability to address accounts payable communication when vendor issues arise. Preferred Qualifications: 

High school diploma or equivalent required; BA/BS degree preferred. Minimum of 1 year of experience in homebuilding, purchasing, or estimating, or equivalent experience in related fields like real estate or supply management.

Basic knowledge of residential construction materials and techniques, with a willingness to learn advanced practices. 


Compensation: 

Full-time 

$50,000 - $60,000 based on experience, plus bonus potential of $7,500 - $9,000 after six months
